In our opinion, there are two sides to being a stellar project manager — managing projects and managing people. We’re looking for someone who is absolutely INCREDIBLE at both!
You are outrageously organized — color-coding, folders, and systems are the stuff of dreams. Taking an idea and turning it into a timeline of clear deliverables actually sounds like a fun way to spend a day to you! You are incredibly skilled at both micro and macro thinking — making sure the big picture is always moving forward by way of all the tiny details that need to get done.
You also love people — you’re a natural mentor and sounding board, and knowing that you helped someone else succeed gives you enormous satisfaction. You love coaching people to do their best, seeing people’s strengths and talents and drawing it out of them even more. ABOUT THIS ROLE
You will be the overall project manager at the Conscious Stories - also known as the Conscious Stories Mama.
What does this mean? That you’ll be grand central station for all of our projects. You’ll break down our goals into deliverables, hand them off to the right people, then make sure everything is on track and getting done on time. You’re the go-to person for questions, resources, or whatever our team needs to get the job done.
You are excellent at translating big ideas into projects, from figuring out the master plan to figuring out exactly which details need to be executed when.
Basically, you are the one who keeps our virtual office humming every day. You keep our team happy and our projects on time. We are mostly a virtual office — that means everyone (including you!) works from your own home office. This means you get all the best parts of interacting with a super fun team, with none of the commute and cubicles! Although your day to day will involve working closely with our small team, you need to be the kind of person that enjoys working from home and managing their own time. That said, we recognise the importance of getting together, and homebase is Nashville TN.
Some of your big picture tasks will include:
- translating big ideas into projects, deliverables, & timelines
- working with CEO to determine top 3 monthly goals, then tracking progress/success on those goals
- monitoring our task management system actively look for roadblocks and making sure everything is progressing
- overseeing all of our website, social media and fulfillment center and working with our team to make sure they’re operational and up to date
- facilitating weekly team meetings
Some specific tasks include:
- Identify and select trade shows and book them
- Find speaking opportunities and book them (Schools, Unity, CSL, etc)
- Find paid author reading opportunities in schools, and manage ongoing relationships
- Build local events around key trade shows and existing travel events.
- Facilitate CEO’s work process by listening, observing and asking questions that move projects forward efficiently
- Daily workday check-ins with CEO to manage priorities, answer questions and handle issues
- Manage CEO’s schedule
- Ensure CEO writes
- Setup system to get customer book reviews
- Implement or manage the implementation of simple online marketing funnels
RETAIL CUSTOMER SUPPORT
- Provide lots of love to subscribers
- Respond to customer contact emails
- Customer relations replies about book orders, club offerings, etc.
- Follow up with all lost shipping and report to customers
- Keep the database up to date
- Process miscellaneous payments from customers
- Offer coupons to turn customer complaints around
- Correct any shipping errors
- Respond to social media comments to create conversation
- Respond to FB Page messages and questions
- Develop FAQ list with help from CEO
WHOLESALE CUSTOMER SUPPORT
- Manage Wholesale distributors to ensure reporting of monthly inventory
- Manage consignment stock reports and audit payments
- Represent the brand in local retail sales discussions
- Maintaining ongoing bookstore relationship
- Create new accounts in quickbooks and issue invoices
- Set up new accounts in Infusionsoft CRM and tag them as accounts
- Support annual launch of new books
YOUR SKILL SET
A willingness and confidence to reach out and find new opportunities for speaking and school engagements for Andrew.
Able to learn new software fast and comfortable with online marketing world. Able to research new software systems, learn how to use them, and set them up for the company.
Experience with Google Drive, Dropbox, Facebook (pages for business) necessary.
Comfortable posting new blog articles, copy or photos to an ecommerce site (we use Cratejoy, which is much like any other.) Also comfortable editing product descriptions, pricing or photos.
Previous CRM and email marketing software experience essential. Familiarity with Infusionsoft preferred. Ability to load and send emails, manage tags and lists, add and remove subscribers etc.
Excellent English and grammar skills for interacting with customers by email and phone.
Able to adopt our company’s voice and speak as our Conscious Club Mama offering customer service via phone and email.
Must be able to self-generate tasks that move business and projects forward, especially when CEO is out of town.
Be amazing at checklists (we use Trello).
Ensure details don’t slip through the cracks or fall off of the schedule.
BONUS SKILL SET
Familiarity with Cratejoy, Trello, Buffer, and Adobe Creative Suite is helpful.
Background in publishing is a bonus.
Experience creating reports in Quickbooks.
Any experience with booking speaker into conference or trade show is very helpful.
Minor graphic editing is helpful.
This is a contract position starting at 15 hours/week, growing to 20 hours/week.
$18 - $22/hr based on experience.
You must provide your own laptop.
If you are working locally in Nashville and working in person, you provide your own transportation. If you are working remotely you provide your own internet connection and phone service.
Candidates in Nashville will be strongly considered, though this will also work well as a virtual position.

Conscious Stories LLC is a USA business, based in Nashville Tennessee. We are 3 years old, and currently have 12 titles in print, all written by Andrew Newman. In the USA these books are available one-at-a-time or on a 12-month subscription. We partner with fulfillment centres and specialist distribution partners to provide books through bookstores, our website and online partners.
The team of 9 are spread throughout the world, with specialist areas of focus and responsibilities. The primary market is the USA and secondary South Africa, with long term expansion into UK and translation partnerships with foreign publishers.
Andrew Newman has followed his deep longing for connection and his passion for spiritual development in a 12 year-long study of healing. He is a graduate of the Barbara Brennan School of Healing and a qualified Non-Dual Kabbalistic healer. Andrew has been actively involved in men’s work through the Mankind Project since 2006.
His portfolio of work alongside his therapy practice includes; publishing over 2500 donated poems as the PoemCatcher, volunteer coordination for Habitat for Humanity in South Africa and directing Edinburgh’s Festival of Spirituality and Peace.
Andrew believes that the last 20 minutes of every day are precious.
His latest project, The Conscious Bedtime Story Club, is a culmination of all of these areas of experience, intended to bring parent and child into deeper connection and spiritual union with each other.
ABOUT THE BOOK COLLECTION
Conscious Bedtime Stories Collection is designed to help parents connect with their children in the last 20 minutes of the day. The stories each have a simple breathing meditation to start story-time, love-able heroic characters on great adventures and reflective activity pages to open conversations. The books have a core lesson that is clearly named on the cover, so that parents can choose their favourite.
